This Privacy Policy describes the policies and procedures of Barter It™ Inc. ("Barter It," "we," "us," or "our") regarding the collection, use, and disclosure of your information when you use our website, web application, and services (collectively, the "Service"). We are committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable provincial privacy legislation.
By accessing or using our Service, you agree to the collection, use, and disclosure of your information as described in this Privacy Policy.
A. Interpretation and Definitions
Interpretation The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.
Definitions For the purposes of this Privacy Policy:
- Account means a unique account created for you to access our Services. 
- Barter It Inc. (referred to as "Barter It Inc.", "we", "us" or "our") refers to Barter It Inc., a corporation established pursuant to the Canada Business Corporations Act. 
- Device means any device that can access our Services, such as a computer, a cellphone or a digital tablet. 
- Personal Information is any information that relates to an identified or identifiable individual. 
- Service refers to the Barter It website, web application, and all services provided therein. 
- Service Provider means any natural or legal person who processes data on our behalf, including third-party companies we engage to facilitate, provide, or assist in the analysis of our Service. 
- Website refers to barterit.ca. 
- You (or your) means the individual accessing or using the Service, or the entity on behalf of which such individual is accessing or using the Service. 
B. Collecting and Using Your Personal Information
We collect personal information to provide and improve our Service. With your consent, we collect the following types of data.
1. Personal Information You Provide to Us
When you create an account or use our Service, you may provide us with the following personal information:
- For Individuals: Your first and last name, email address, city, and province are required. You may optionally provide a street address, phone number, postal code, and social media links. 
- For Businesses: Your first and last name, email address, city, and province are required. You may optionally provide a street address, phone number, postal code, business name, business description, and website. 
- Financial Information: When you make a purchase, Stripe, our payment processor, collects and stores your credit card information. We do not directly store your credit card details on our servers. 
- Account Authentication: If you use Google to sign in to your account, we will receive your name and email address from Google. 
- User-Generated Content: This includes content you submit, such as reviews, ratings, directory listings, and business descriptions. 
2. Information Collected from Your Device
We collect limited information from your Device to help us provide and secure the Service.
- Cookies and Tracking: We use Cookies and similar tracking technologies to authenticate users and remember your preferences. These are essential for the Service's functionality and to ensure a personalized experience. 
- Usage and Performance Data: We may collect non-personal, aggregated information related to server performance and system loads to help us monitor and improve the Service. 
- Location Information: If you explicitly give us permission through your device settings, we use your IP address to determine your general location (city/province). This information is used solely to enhance your experience, such as by connecting you with members in your local area. 
3. Information Related to Your Use of the Service
- Transaction Data: We record and store a historical record of all transactions between members, including the parties involved, the date, and the amount of BITS™ exchanged. This is essential for the integrity of the two-sided bartering system and for dispute resolution. 
- Referral Program Data: To track referral rewards, we collect the username and email of the referrer, as well as the join date and membership status of the referred member. 
- Chat Communications: We use Sendbird to manage our chat function. Sendbird provides us with the ability to monitor chat messages for security purposes and to enforce our User Code of Conduct and Prohibited Content policies. We do not access chat logs for any other reason. 
4. Use of Your Personal Information
We use your personal information for the following purposes:
- To provide and maintain the Service: To create and manage your account, facilitate transactions, and ensure the functionality of the platform. 
- To contact you: To send you updates, security notifications, or other informative communications via email or other electronic means. Sendgrid is used to send these emails. 
- To manage requests: To respond to and manage your requests to us. 
- To enforce our policies: We use data, including transaction history, reviews, and chat logs, to identify and address violations of our Terms and Conditions. 
- To facilitate business transfers: We may use your information in the event of a merger, sale, or transfer of our assets, where user data is among the assets transferred. 
- For data analysis: We may use your information to identify usage trends and to evaluate and improve our Service, provided that this is done on an aggregated, anonymized basis. 
C. Disclosure and Sharing of Your Personal Information
We share your personal information in the following situations:
- With Other Members: To facilitate the bartering network, certain information is shared with other members. - For personal accounts, your city and province are shared. 
- For business accounts, your business address and phone number are shared in your public directory listing. 
- When you post a review or rating, your username is permanently associated with the review and is publicly viewable by other members, along with any replies you make. 
 
- With Service Providers: We share your information with trusted third-party Service Providers who perform functions on our behalf. We ensure these providers handle your information securely and only for the purposes for which it was shared. These include: - Amazon Web Services (AWS) for hosting and data storage. 
- Google Maps API for location services (if you give us permission). 
- Google Sign-In for account authentication. 
- Stripe for payment processing and storing credit card information. 
- Sendgrid for sending email notifications. 
- Sendbird for managing the chat function. 
- True North Funding Ltd. to receive the amount of BITS™ to be loaded onto a member's account; we do not share personal information with them for this purpose. 
 
- For Legal Reasons: We may disclose your personal information if required to do so by law or in response to a valid request from a public authority, such as a court or government agency. 
- With Your Consent: We may disclose your personal information for any other purpose with your explicit consent. 
We do not sell or provide your personal information to third parties for their own marketing or promotional purposes.
D. Data Retention, Transfers, and Security
Retention of Your Personal Information We will retain your Personal Information for as long as is necessary for the purposes set out in this Privacy Policy.
- Due to the two-sided nature of transactions, we must retain a historical record of transaction details and the associated usernames. 
- We will retain chat logs for a period necessary to enforce our policies, and we will establish a formal retention schedule in the future as usage patterns become clearer. 
- We will provide more detailed information on our data retention policy as our service matures. 
Transfer of Your Personal Information Your information, including Personal Information, may be processed in locations outside of your province or country, including where our Service Providers are located (such as AWS and Stripe). By using our Service, you agree to this transfer. We will take all reasonable steps to ensure that your data is treated securely and in accordance with this Privacy Policy and applicable laws.
Security of Your Personal Information While we strive to use all commercially reasonable means to protect your Personal Information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee its absolute security. We will record any security breaches and notify you in the event of a breach that poses a real risk of significant harm to you.
E. Your Rights and Choices
You have the right to access, update, and request the deletion of your personal information. You also have the right to withdraw your consent to our use of your information at any time, subject to legal or contractual restrictions and reasonable notice.
- Right to Access: You may request a record of the personal information we hold about you. 
- Right to Rectify: You may update your profile information at any time. 
- Right to Erasure: You may request the deletion of certain personal information. As noted above, we must retain usernames and transaction details due to the nature of the Service.

F. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any material changes by email and/or a prominent notice on our website prior to the change becoming effective. You are advised to review this Privacy Policy periodically for any changes.
